UKG Workforce Central (KRONOS) - Web and Mobile App Review

 The app that I've chosen to review is an app I use every day for work that comes in both web and mobile version. UKG Workforce Central (previously called Kronos) is a workforce management app that is primarily used for scheduling, time and attendance. The application is ingenious, making it simple creating schedules for large organizations. UKG Workforce Central allows functions as clocking in and out, swapping shifts, recording your meal breaks, requesting time off with different pay codes (paid time off/unpaid time off/floating holiday/legacy sick ect.). Any employee has visibility and can access their own schedule as well as their timecards for up to two previous periods in addition to the current one. 

UKG workforce mobile app can be found on the Apple App Store or Google Play Store. Once downloaded the Server URL provided by the company has to be entered for the user to have access their own portal. This is only done once at the beginning after download, and to log in the user uses their username and password or their PIV/CAC card. The app is very user friendly having just 5 main buttons for most of the employees which are self explanatory, while leaders have a more detailed view. The app will notify each employee if they have missed punches, if they're clocking in or out early or late, and they would get approvals or denials for the requests. Everyday use such as looking at the schedule, punching in and out, and requesting time off is as simple as a click of a button. 

The design is very simple and there is nothing fancy about it. This app is definitely more focused on giving employees easy access to the main scheduling and time/attendance tasks, and giving managers the tools and data to make quick and informed decisions. There is 5 main buttons lined vertically : Punch In/Out, Requests, Timecard, Schedule and Accruals. There would be a Red Circle with an exclamation point if there is exceptions like missed punches or excused or unexcused absences.








The functionality is the part that I totally love about the app. UKG Workforce Central efficiently creates the schedule by itself based on filters that are inputed for example employee availability. The app analyzes the footsteps that walk in the store, it predicts when it's going to be busy in the store based of historical data and schedules employees based on their availability. The app knows when an employee has approved paid time off and it will not schedule them that day. Based on availability you can input patterns for each employee for example if they cannot work a certain day, or they're available only after a certain time; it will recognize the managers and key-holders to open or close the store; recognize company's policies like at least 2 people have to open and close the store every shift and the app will do the best to balance employee requests and business needs. The app functions by budgeted hours that are approved by the Senior Leadership, and always ensures everyone is paid accurately by notifying managers for any exceptions. You could run different reports on the app like Budget Variance Reports, Scheduled vs Budgeted hours, Overtime report etc. 
The app is great overall for workforce management, recording time worked and scheduling but there is multiple things that can be be improved. Some of those are : 

1. The app doesn't support biometric log in. You have to type in username and password every time you log in. 

2. Sesion time out is too short. As a manager I have to navigate to other apps on my phone, and every time I do that it forces me to log in.

3. The username and password doesn't save. There is 'remember me' button designed for the mobile app but it only saves the username for the day. 

3. The app design is poor when you try to edit time cards from the phone you have to rotate screen otherwise you don't have visibility.
